Ricoh Launches Workflow Software Aimed at Cutting Production Complexity

Ricoh has launched RICOH TotalFlow™ Optimizer, a vendor-neutral production workflow platform designed to help print service providers handle growing volumes of short-run work more efficiently.

The software targets a persistent pain point in the print industry: fragmented production environments where disconnected systems, manual job-handling, and poor visibility across the shop floor erode margins and slow turnaround times. Rather than requiring businesses to replace existing equipment, TotalFlow Optimizer is built to sit across mixed-vendor fleets, using intelligent data mapping and bi-directional system communication to create a unified view of production.

The platform centres on four capabilities. It automates the grouping, preflight, and imposition of similar jobs to reduce manual steps and protect service-level agreements. It provides centralised job tracking using barcodes, giving operators and managers real-time status visibility at any point in production. It routes jobs automatically to the most suitable device, reducing setup time and paper changes. And it establishes consistent data flow across integrated systems, removing the silos that typically emerge in operations running software from multiple vendors.

Stephen Goddard, Head of Portfolio Marketing at Ricoh’s Graphic Communications Group EMEA, said the tool was designed to reduce complexity for mid-to-large operations in particular. “The vendor agnostic solution integrates easily into mixed fleet production environments,” he said. “This means reduced complexity, faster implementation, and the ability to scale or pivot as client requirements evolve.”

The launch comes as the broader print production workflow software market is expanding. Industry analysts project the European segment alone will grow from around USD 4.8 billion this year to USD 8.1 billion by 2033, driven by pressure on operators to lower costs, speed up delivery, and maintain quality across a widening range of applications.
